Studio Booking Policies

These policies explain how reservations, payments, unpaid holds, cancellations, refunds, and managed-client exceptions work. They form part of every studio booking agreement.
1. Agreement and customer information
By submitting a studio booking, the customer agrees to these Studio Booking Policies and the website Terms & Conditions. The customer must provide an accurate full name, email address, telephone number, and billing or contact address.
The person making the booking is responsible for the booking, all invited participants, and compliance with the policies shown in the booking record.
2. Booking duration and availability
Studio reservations have a two-hour minimum. Available times are subject to the live booking calendar, and a 30-minute operating buffer is applied between sessions.
A requested time is not available when it conflicts with an active booking. Outdoor, patio, event, and full-building uses may require direct approval and manager-created arrangements.
3. Rates, equipment, and staff services
The total shown at booking is based on the selected room, use type, duration, eligible full-day pricing, and selected add-ons. Studio room rentals are treated as services and no sales tax is currently added.
Only the equipment listed for the selected room and use is included. Setup, engineer, and AV technician services are not included unless added to the booking and shown in its price summary.
4. Online bookings pending payment
An online customer may create a booking without immediate payment. While unpaid, the room is not guaranteed. Customers who complete payment have priority, and Red Squid Grove Studios may cancel and release an unpaid booking to a paying customer.
Unless an authorized exemption appears on the booking, an unpaid booking is automatically cancelled 24 hours before the scheduled session. Automatic cancellation of an unpaid booking is not a customer cancellation and does not create a cancellation fee.
5. Admin- and manager-created bookings
Bookings created by an administrator or manager are exempt from the 24-hour unpaid auto-cancellation rule by default. An administrator or manager may enable or remove that exemption for an individual booking.
When the exemption is enabled, the unpaid deadline and automatic-cancellation disclaimer do not apply. Other agreed payment terms and the paid-booking cancellation policy remain in effect unless separately documented.
6. Payment and confirmation
Payment confirms the booking and gives it priority over unpaid requests. Online payments are processed through the secure checkout shown in the booking flow; staff may also record approved offline payment methods in the customer account.
A payment confirmation and transaction reference are recorded with the booking. Any unpaid balance remains due under the invoice or arrangement shown in the customer account.
7. Customer cancellations and refunds
A customer may cancel an active booking before the session starts. If an unpaid booking is cancelled, no cancellation fee applies because no payment was made.
A paid booking cancelled 24 hours or more before the session is eligible for a refund less actual payment-processor fees. If a paid customer cancels within 24 hours of the session, or does not attend, a $100 cancellation or no-show fee applies. Any remaining refund is reviewed and processed by Red Squid Grove Studios.
8. Changes and rescheduling
Customers may revise or reschedule an eligible booking until 24 hours before the session, subject to room availability and updated pricing. Customer revisions are locked during the final 24 hours and after the session begins.
Administrators and managers may assist with changes when operationally possible. Any approved exception must be reflected in the booking record.
9. Booking records and communications
The booking record, invoice, payment history, status, customer communications, and any manager exception are the official record of the session. Customers should review confirmation, payment, cancellation, and account-statement messages and report errors promptly.
Red Squid Grove Studios may update these policies for future bookings. The version accepted when a booking is submitted applies unless both parties document a later agreement.
